Formal Data Protection and Confidentiality Policy

This policy is intended for all stakeholders of Lismore Relocation Sàrl, providing destination and real estate

services  to multi-national companies and individuals, and operating at Rue de Mussel 11, 1124 Gollion, registered under CHE-192.528.249.

Purpose, Scope, and Validity: Lismore Relocation Sàrl recognizes the utmost importance of maintaining discretion and ensuring customer confidentiality. This formal policy serves to clearly delineate the purpose and principles of Data Protection for all Lismore Relocation staff, external partners, and subcontractors. It establishes guidelines and procedures that must be consistently followed.

Applicability: This Data Protection Policy applies comprehensively to all employees of Lismore Relocation and any third-party entities or individuals engaged in work on behalf of Lismore Relocation, referred to hereafter as “Employees” and “Subcontractors.”

Implicit Consent: Customers engaging services from Lismore Relocation are informed of this data security policy, and their implicit consent with its conditions is acknowledged. Should customers disagree, in whole or in part, with the policy’s content, they must communicate this in writing before the commencement of service. Lismore Relocation reserves the right to cancel services if personal data is required to fulfill contractual obligations and the customer does not consent to the policy terms.

Employees or Subcontractors, upon accepting work from Lismore Relocation, are also informed of this Data Security Policy and are implicitly bound by its terms.

Data Collection: Data is acquired from our customers’ HR departments, directly from customers, or from other entities appointed to assist in the Relocation Process.

Definition of Personal and Confidential Information: Personal information comprises non-public data, including but not limited to:

  • Name
  • Address
  • E-mail address
  • Contact details
  • Date of birth
  • Gender
  • Medical Insurance and Personal Insurance details
  • Identification numbers (e.g., passport, social security number)
  • Employment contracts
  • Property and vehicle lease agreements
  • Income-related information
  • Educational background
  • Details pertaining to family members

Information regarding Employees of Lismore Relocation or its Subcontractors is similarly classified as personal information, subject to the same regulations. Data may be collected through various means, including online forms, surveys, phone calls, emails, and social networks, with explicit or deduced consent from the client.

Data Quality, Access, Modification, and Disposal: Lismore Relocation, Employees, and Partners retain personal data for as long as necessary to fulfill the specified purposes or as mandated by laws and regulations. In Switzerland, personal data is stored for 10 years. Beyond this period, appropriate disposal measures are undertaken.

Customers can request access to their personal data held by Lismore Relocation for verification, update, or modification by contacting contact@lismore-relocation.ch. Disposal requests for personal information are not entertained once service delivery has commenced and legal obligations for data retention apply. Incorrect data must be reported within five working days for correction.

Confidentiality and Use of Information: Personal data and other confidential information collected for relocation services are exclusively utilized to deliver approved services. Lismore Relocation does not sell or rent personal data to third parties. Information may be shared with Real Estate Agencies/Landlords and Third Party Service Providers (e.g., insurance brokers, banking services, estate agents) solely to facilitate the relocation function. Confidential information is never used for marketing purposes.

Confidentiality Obligations: Employees and Subcontractors are prohibited from disclosing confidential or personal information to third parties. This obligation extends beyond employment/service delivery, covering internal information, documentation, and resources. Disclosure of proprietary, secret, or confidential information to any third party is strictly forbidden.

Protection Measures: Documents and items containing confidential or proprietary information are secured on our encrypted, secure cloud portal. When used in hard copy, they are placed in locked file drawers or restricted-access areas. Offsite work must ensure the secure handling of information, with strict prohibition on public Wi-Fi or unauthorized networks.

Customer Rights: Every data subject possesses rights concerning their personal data, as per GDPR Articles 15 to 20, including access, rectification, erasure, restriction of processing, objection, and data portability.

Access to Company Premises: Access to company premises is restricted and granted only when accompanied by company employees.

IT Infrastructure: The company’s IT infrastructure must be safeguarded in the company’s and Employees’ interest. Subcontractors confirm implementing adequate IT protection measures within their companies.

Reporting Non-Compliances: Any non-compliance must be reported promptly to contact@lismore-relocation.ch or directly to a Managing Partner within 2 days of discovery. All breaches are reported and managed under the responsibility of a Managing Partner.

Adherence to Policy and Consequences of Non-Compliance: Adherence to these regulations concerning electronic system usage is monitored. Non-compliance may result in personal evaluations, warnings, and compensation claims for damages.

Ownership, Communication, and Policy Review: This Data Security Policy is owned by the Managing Partners at Lismore Relocation and undergoes an annual review. The policy is communicated to stakeholders through various means, including Employees, Subcontractors, Corporate customers, and Private customers.

IT Infrastructure of Lismore Relocation: The company’s IT infrastructure must be used primarily for business purposes. Usage for private purposes must be minimal and must not compromise work obligations. Adherence to confidentiality interests applies while using the infrastructure for business data storage.

Computer Workstations and Laptops: The selection, acquisition, and installation of PCs, electronic agendas, peripherals, and software are the responsibility of Managing Partners. PCs and programs can be accessed, overwritten, or deleted by Managing Partners. Personal passwords grant access, and sharing passwords or maintaining password lists is forbidden. Business PCs are for designated company employees only, and unauthorized usage is strictly prohibited. Upon resignation or non-usage, equipment and accessories must be returned promptly.

When an Employee leaves the company, their user accounts within Lismore Relocation’s environment are immediately deactivated. Passwords are strictly personal and are not shared except with explicit approval from Managing Partners.

Virus Protection: Precautions are taken to avoid opening emails from suspicious sources or with suspicious attachments. Data storage devices like USB sticks are handled with caution, as they may contain viruses. Antivirus Software is Installed and maintained by Lismore Relocation.

Backup: Lismore Relocation ensures daily encrypted backups of all Confidential Information, stored securely offsite. Unauthorized staff are prohibited from accessing Backup Infrastructure.

Server Infrastructure: Access to the Cloud Server containing confidential information is limited to authorized Employees. Access is controlled and user passwords are changed every 90 days.
